An opportunity has arisen for a Senior Secretary to support 4 Partners and a team of Directors and Managers in the Transaction Services Department within the London Office.
The Senior Secretary role will include the following activities:
Full secretarial/administrative support to Partners and team of Directors/Managers within the Equity Capital Markets sector of Transaction Services.
Mailbox management for Partners if required
Extensive diary management
To answer telephone calls in a professional manner, deal with queries appropriately by delegating to appropriate staff and ensuring detailed, concise information is passed to the relevant personnel
Creating documents, spreadsheets and presentations from written transcription using firm wide templates and ensuring brand compliant.
The Senior Secretary will have responsibility for:
Time submission for Partner’s only
Expenses for Partners, and Directors if required
Organise Internal/external client meetings; book rooms; catering, AV if required
Events and involvement in ad hoc projects such as team away day, organising logistics.
Booking various Travel Arrangements, hotels, taxi’s
SMARTNet – ensuring contacts/clients details are up to date. Recording business development and relationship building opportunities for Partners.
Updating weekly pipeline distribution spreadsheet
Distribute incoming post
Work with the buddy system, covering for other EA’s when they are away or sick and helping out when required
To qualify for the role you must have:

Advanced knowledge of software/telephone systems/intranet

Able to assist with Word/Excel/PowerPoint/SMARTNet/Finance queries
